OrgFrame provides software that sports organizations use to run registrations, rosters, schedules, payments, communications, and their public websites. This policy explains what information we handle, why, and the choices you have. The short version: we use your information to run the service, we do not sell it, and we do not use it to train AI models.
Most information in OrgFrame is provided by or on behalf of an organization — a club, league, association, or facility — and that organization decides what it collects and why. For that information, the organization is responsible for its use and OrgFrame processes it on the organization's behalf. If you have a question about information an organization holds about you or your child, contact that organization directly; we will help them respond.
Your name, email address, phone number, password or sign-in method, and profile picture if you add one.
Details about the people you manage — such as players and dependents — including names, dates of birth, guardians, team placements, form answers, and documents an organization asks for, such as a birth certificate.
Payments are processed by Stripe. Card and bank details are sent directly to Stripe and are never stored on OrgFrame's servers. We receive the transaction record — amount, status, and what it was for.
Messages sent and received through OrgFrame, including email and website chat conversations.
Pages visited, actions taken, browser and device type, IP address, and diagnostic data used to keep the service secure, reliable, and fast.
Youth sports involves minors. Information about a child is provided by a parent or guardian, or by the organization the child participates with. A child under 13 cannot have an OrgFrame account of their own, and we do not knowingly collect personal information directly from a child under 13; the service enforces this from the child's date of birth. If we learn that we have, we delete it. A teen aged 13 to 17 may be given their own sign-in by their organization, with a parent or guardian's agreement.
We use children's information only to provide the service to their guardians and organizations — never for advertising, never sold, and never used to train AI models. A child's public team page shows at most a first name and last initial, and only when their organization chooses to publish its roster. A parent or guardian can review, correct, or delete their child's information at any time from their account, or by contacting us.
We do not sell personal information and we do not share it with advertisers. We share information only:
Some features use AI models to help with tasks such as mapping imported data. Information sent for those tasks is used only to perform them. We do not use your organization's data or your personal information to train AI models.
We use cookies that are necessary to keep you signed in and the service secure, and analytics tools that help us understand performance and usage. Microsoft Clarity records how pages are used on OrgFrame's own site and inside the signed-in product, with personal details masked; Google Analytics counts visits on OrgFrame's own site and inside the signed-in product. Neither runs on an organization's public website. We do not use advertising cookies.
We keep information for as long as an account or organization is active, and as needed to meet legal, tax, and accounting obligations. When an organization closes its account, its data is deleted or de-identified within a reasonable period unless the law requires us to keep it. Children's information is kept only as long as it is needed to run their participation; when a parent or guardian deletes it, it is deleted, including uploaded documents and photos.
Data is encrypted in transit, access is limited by role within each organization, and each organization's data is isolated from every other's. No system is perfectly secure, and we will notify affected users of a breach as the law requires.
You can view and update your account and the people you manage from your account settings, download a copy of your data, and delete your account. Deleting your account deletes the people only you manage; a person an organization holds, such as a registered player, stays with that organization, which you can ask to remove it. You can also ask us to access, correct, export, or delete your personal information. Depending on where you live, you may have additional rights under local law. We will not treat you differently for exercising them.
If we make material changes, we will update the date above and notify account holders by email or in the product before the changes take effect.
